What do I need to send you, and how often?
Your bank statement as a detailed CSV, your supporting documents, and once a year the year-end items. How often depends on whether you are liable for VAT.
The three items
The detailed bank statement in CSV. Required in every case, whatever the engagement covers. It is the source of the work: every movement appears in it, and it is the one document you can check yourself, line by line.
The supporting documents. Purchase and sales invoices, expense claims, contracts. A payment with no supporting document gives no right to an input tax deduction — that is what makes the document indispensable, rather than a formality.
The year-end items. Once a year, at the start of the following financial year: invoices straddling two financial years, stock figures, receivables and payables as at 31 December. We ask you for them, and we send reminders — but we cannot reconstruct them for you.
How often
If you are not liable for VAT, once a year is enough. If you are, the pace follows your VAT returns: every quarter under the effective method, every half-year under the net tax rate method. Other frequencies are available on request to the Federal Tax Administration (FTA).
The supporting documents come with each batch. That is not a preference of ours: a VAT return is prepared on a closed period. Sending things afterwards means reopening work that is already done.
If your company runs on Odoo
You do not send us your entries: they are already there. The detailed bank statement in CSV is still required, and so are the year-end items.
What changes is the rest. We go through your processes with you — how your sales, your purchases and your expense claims enter the system — and we adjust them so that the books build up as you trade rather than afterwards. That analysis is billed on a time-spent basis, and it is done once.
